that of your prospective tenants or debtors as
completely private and confidential and will not
give any details to anyone without your consent
except in exceptional circumstances or where the
law requires us to do so.
We may therefore share your
information with third parties to carry out credit
checks or debt collection services or to protect
both ourselves and our clients against fraud or
debt, and to prevent money laundering.
By providing us with information, you are
expressly authorising us to use it in accordance
with this policy.
The information which you
provide or which we obtain through our dealings
with you or in connection with your application
will be held on computers and other records owned
by Raeburn UK Limited and Etheringtons Solicitors.
Parkmatic Publications Limited, as a marketing
intermediary, will restrict its records to contact
details only.
Under the Data Protection Act 1998, you have a
right to see and receive a copy of information
held about you on our records (on payment of a
fee) and to ask for any inaccurate details to be
amended. For the purposes of the Data Protection
Act 1998, the Data Controllers in relation to any
personal data you supply are Raeburn UK Limited
and Etheringtons Solicitors.
The information you provide is used to carry
credit checks and referencing and for debt
collection purposes and to deal with your
enquiries generally. Our application forms and
on-line forms make it clear what information
we need and indicate how we will use it.
We may obtain information
from you or your prospective tenants directly,
from third parties which you have authorise to act
on your behalf, or from other organisations such
as banks, building societies, insurance companies,
employers, suppliers, government agencies,
guarantors, referees and credit reference
agencies.
Information about you and your prospective tenants
will be used to enable us to give credit ratings
and credit scores, to make insurance decisions,
make lending decisions, recover debts, verify your
identity, to detect and prevent fraud and money
laundering. This may mean passing your details on
to authorised third parties or receiving
information about you from third parties.
Applications and the
personal information they contain by or for more
than one party to an agreement will result in a
connection between the two at the credit reference
agency.
By carrying out a credit reference search, we may
also access the Council of Mortgage Lenders
Possessions Register which records all properties
taken into possession. The credit reference
agencies may use your information for statistical
purposes.
If we cannot trace you, we
may pass your details to a Tracing Agency.
As part of our service we may use your contact
details only to keep you informed about our
products and services which we consider may be of
interest to you, either by letter, telephone, or
e-mail. We will always give you the opportunity to
tell us if you do not wish your information to be
used for these purposes by ticking the relevant
opt-out box on the application form. You can also
write, telephone or e-mail us at any time to ask
to have your name removed from our mailing list or
unsubscribe.
We do not pass on contact details or share any
information with outside companies for their
marketing purposes.
If we use external companies to carry out work on
our behalf, such as the addressing of letters, we
will use reputable companies with robust processes
and tight security, and our contract with them
will not allow your information to be used for
anything else.
We may record or monitor telephone calls for
security and staff training purposes.
If you contact us by e-mail
or register with us on our web sites we will
record your e-mail address and add this to our
e-mail newsletter mailing list as a SUBSCRIBER.
Should you not wish to receive our e-mail
newsletter or other correspondence you can opt out
by returning the e-mail with UNSUBSCRIBE in the
subject line.
For your own security you are advised to keep a
record of any confidential information you send to
us by e-mail and to keep this information to the
minimum required for us to carry out the service.
In return we will minimise confidential
information about you or your prospective tenants
in any e-mail that we send to you.
Our websites currently do not use cookies.
